Cutting Edge Data Entry

Who has the best system when it comes to documenting equipment? D. Taylor, a clinical engineering technician III at Advocate Healthcare South Suburban Hospital in Hazel Crest, Ill, says they use St Croix Asset Manager, and even though it has many features, it does take time to manually enter data. The team is looking for your suggestions and here’s what D. Taylor says:

“We, like many hospitals, are networked with multiple hospitals in our system. Most clinical engineering departments today have eliminated secretaries to enter data. Therefore, time is spent on the computer for e-mails, service, parts ordering, shipping, etc. Does anyone use an automated system with barcode scanners, one-page service tickets, mobile PDAs, and/or codes for service completed versus paragraph data? Who enters vendor field service reports in your system?

It appears that in the constant growth of computer systems, data entry may be falling behind in technology. What is the ratio of time spent on service versus support activities? To continue to provide a reduction in service costs for the hospital, departments must strive to reduce support activities so time can be best utilized to eliminate all outside vendor repairs.”

Can you help? Your comments are welcome. Thanks to D. Taylor for the blog and to all of you who will comment!

Robert Wentworth, biomed for Midwest Medical Solutions LLC.  I use Harvest Data for Biomeds.  It is very user friendly, and you even get free technical support and once installed, you and Harvest Data Systems can link up via a very user friendly web page, and there they will take control of your mouse and show you step by step any solution to any problem you may have.  We are an ISO and provide service to many accounts and with this software, we can track parts, vendors, departments, branches, and the list goes on.  You can even download a free demo from them online.

We currently use Four Rivers TMS Enterprise currently use PDAs with barcode scanners. We first create ID tags that included barcodes. We were able to create the ID Tags in house by using Avery Design Pro label software. We imported our equipment inventory into a excell spreadsheet then imported the equipment ID numbers to the label software. I have the PDAs setup so that when the PM is due it goes to the performance tests after the tech scans the equipment. For example "check AC Power Cord Yes or No "etc. Then would indicate yes on the task and moved to the next task. Joules performance tests are prompted and measurements are recorded. This has totally eliminated data input at the desk top. If you have any questions call me at 504-903-3783
